Policy on deletion of cases 


A decision will be made on the following basis:

If the case is

For the wrong member and cannot be amended 

Saying incorrect or inappropriate things

A duplicate of another case

intended to be in a collective case


We will delete the case and log it once we are sure ad once relevant action has occured



If in doubt cases can be moved to the Head Office branch and held there for a short period in case there is doubt over the request


Policy on deletion of items 


A decision will be made on the following basis:

If the item is

For the wrong case

Saying incorrect or inappropriate things

Contains errors

 

And

Not already communicated out.

 

Then we will delete the item in order to make the record correct and compliant with GDPR


 

In other situations there is no normal reason for deletion and holding a duplicate of documents is not normally considered a problem. Leaving these in shows our honesty regarding content on the system

 

Having said that we will consider representations. If there is some specific reason for a deletion it can be considered.

 

Recording of deletions

A log will be maintained of all deletions so we can see the frequesncy and source of relateed errors.
